We are seeking a highly organized and detail-oriented Office Manager to oversee the day-to-day administrative and financial operations of two affiliated companies. This is a hands-on role that combines office management, bookkeeping, payroll administration, and financial reporting. The successful candidate will be a proactive professional with strong accounting knowledge, excellent organizational skills, and the ability to manage multiple priorities in a fast-paced environment.

Key Responsibilities

\n\n

Financial & Accounting

\n\n

Manage the full accounts payable (AP) and accounts receivable (AR) cycle.
Prepare and issue customer invoices.
Process customer payments and follow up on outstanding accounts.
Generate and distribute customer statements.
Reconcile bank, credit card, and general ledger accounts.
Assist with month-end and year-end financial processes.
Maintain accurate financial records and supporting documentation.
Monitor cash flow and assist with budgeting and financial reporting.
Implement and monitor cost control measures to support operational efficiency.
Work closely with management to identify cost-saving opportunities and improve financial processes.

Payroll & Human Resources Support

\n\n

Process payroll accurately and on time for multiple entities.
Maintain payroll records and ensure compliance with applicable legislation.
Administer employee records, vacation tracking, and payroll deductions.
Assist with onboarding paperwork and general HR administration as required.

\n\n

Office Management

\n\n

Oversee daily office operations and administrative functions.
Coordinate office supplies, equipment, and vendor relationships.
Answer phones, manage correspondence, and provide exceptional customer service.
Maintain filing systems, both electronic and paper.
Coordinate meetings and assist with scheduling.
Support management with administrative projects and reporting.

Multi-Company Administration

\n\n

Manage accounting and administrative functions for two affiliated companies.
Ensure transactions are accurately allocated between companies.
Maintain confidentiality and accuracy while handling multiple sets of financial records.

\n\n

Qualifications

\n\n

Minimum 3-5 years of experience in an Office Manager, Bookkeeper, or Accounting Administrator role.
Advanced proficiency with QuickBooks (required).
Strong understanding of accounts payable, accounts receivable, payroll, reconciliations, and bookkeeping principles.
Experience processing payroll and maintaining payroll compliance.
Excellent Microsoft Office skills, particularly Excel.
Exceptional organizational and time management skills.
Strong attention to detail with a high degree of accuracy.
Ability to work independently while managing multiple priorities.
Excellent verbal and written communication skills.

Assets

\n\n

Experience managing accounting for multiple companies or entities.
Experience with cross-border accounting or business operations (Canada/U.S.).
Knowledge of import/export documentation, foreign currency transactions, or cross-border taxation is considered an asset.
Post-secondary education in Accounting, Business Administration, or a related field.
