Are you an experienced Senior Administrative Professional who thrives in a fast-paced, multifaceted role? TreowGroup Recruitment, on behalf of our Niagara-based client, is hiring an Executive Assistant.
In this role, you will act as the critical link to the CEO and manage communications, business timelines, budgets and itineraries on behalf of the CEO, Executive Team, Board of Directors and Shareholders.
Your day-to-day will include:
Project Management and Strategic Planning:
Leverage your proven business acumen to support project management and strategic planning initiatives.
Track project progress, hold staff accountable for timelines, and report on business performance through corporate priorities.
Manage budgets and deliver comprehensive reports on budget updates.
Administrative Support:
Utilize your senior-level administrative experience to provide comprehensive support to the CEO, Executive Team, Board of Directors, and Shareholders.
Manage complex calendars, inboxes, and meeting arrangements for multiple business leaders.
Maintain company minute books and assist with administration of Shareholders Holding Companies.
Capture meeting minutes and prepare follow-up documentation.
Facilitate the CEO’s expense report(s) by tracking and submitting expenses.
Coordinate travel arrangements, including intricate itineraries.
Event Planning and Fundraising:
Showcase your event planning expertise by organizing high-level executive events involving Political Officials, Community Leaders, Board of Directors, and Stakeholders.
Take the lead in planning successful fundraising events to support philanthropic endeavours.
Coordinate community outreach efforts to foster positive relationships and enhance the company’s vision for continued social responsibility.
Communication and Presentation:
Utilize your advanced report writing and proofreading skills to produce accurate documents and reports.
Prepare detailed presentations for executive-level meetings.
Leverage your marketing skills and social media experience to enhance the CEO’s online presence.
Act as the point person for media personnel, managing interactions and directing inquiries to appropriate recipients.
Your progressive experience includes:
Seven (7) years of administrative experience serving Senior Leaders, ideally within a multi-unit/multi-subsidiary organization.
BA or College Degree with relevant experience, Business or Commerce-related BA preferred.
Proven ability to manage complex calendars, inboxes, and meeting arrangements for multiple business leaders.
Strong event planning and fundraising experience, with a demonstrated passion for community outreach.
Excellent project management skills, including tracking progress and reporting on business performance.
Successfully handled budgetary responsibilities and possesses a strong background in reporting on budget updates.
Proficient in report writing, proofreading, and advanced presentation preparation.
Tech-savvy with expertise in Microsoft Suite (Excel, PowerPoint, etc.).
Prior experience supporting a Board of Directors, coordinating meeting and travel schedules, and handling board-related communications is desirable.
Having served on a not-for-profit board is considered a valuable asset.
Political connections and experience working with political officials are highly valued.
Experience in a family-owned, entrepreneurial, or privately held enterprise is an asset.
